When stock is material to the financial statements, auditors often attend physical counts. Smooth attendance depends less on polished presentations and more on whether tags, floor plans, and cut-off documents are ready the morning the team arrives.
Freeze instructions the operations team can follow
Issue a short written freeze: when receiving stops, how returns are parked, and who may move goods during the count. Ambiguous freeze rules create duplicate tags and missing lines that take days to reconcile after auditors leave.
Maps, zones, and count teams
Provide a floor map with zone owners, blank count sheets or system tags, and a list of slow-moving or high-value SKUs. Auditors typically select test counts from these zones; knowing where slow movers sit saves everyone from hunting unmarked pallets.
Cut-off packets
Assemble the last goods-receipt notes and the first post-count shipments. Auditors compare these documents to inventory movement reports. Missing cut-off packets are one of the most common reasons fieldwork extends into an extra day.
Language and access
If your warehouse leads prefer Mandarin and your parent pack is in English, assign one bilingual coordinator. Confirm visitor badges and safety gear the day before so the count does not stall at the gate.
